Terms of Service

These Terms of Service ("Terms") govern the Orchid Refresh Add-On service offered by Orchid Republic ("we," "us," or "our"). By purchasing or redeeming the Orchid Refresh Add-On, you ("Customer") agree to be bound by these Terms. Please read them carefully before completing your purchase or booking.

These Terms apply to all Orchid Refresh transactions, whether the refresh is purchased as an add-on at the time of an orchid arrangement order or acquired separately through our standalone product listing.

If you do not agree to these Terms, please do not purchase or redeem the Orchid Refresh service.

Section 1

Scope of Service

The Orchid Refresh service is a one-time professional care treatment applied to an eligible orchid arrangement previously purchased from Orchid Republic. The service includes assessment of the arrangement's condition, replacement or replenishment of orchids, plants, moss, decorative materials, containers, or accessories as reasonably required, and restoration of the arrangement to a presentation standard comparable to its original condition at the time of purchase.

The Orchid Refresh is not a subscription, maintenance contract, or guarantee of continuous plant health. It is a single-use service redeemable once per qualifying order.

Section 2

Eligibility & Service Coverage

To be eligible for the Orchid Refresh service, the Customer must (a) have purchased a qualifying orchid arrangement from Orchid Republic, (b) have the Orchid Refresh Add-On associated with that specific order, and (c) hold an active account on orchidrepublic.com at the time of redemption.

The Orchid Refresh service is available to customers located within our standard service and delivery areas: Sherman Oaks and the greater Los Angeles area, Santa Monica, and Orange County, California. Customers outside these areas who wish to use the drop-off option at either our Sherman Oaks or Santa Monica boutique are also eligible, provided all logistical arrangements are made by the Customer.

Orchid Refresh is not transferable between orders, accounts, or customers. Each refresh token is tied to the specific order in which it was purchased and expires if not redeemed within 12 months of the original order date.

Section 3

Pricing & Fees

The Orchid Refresh Add-On is priced individually for each orchid arrangement at the time of product listing. The refresh fee is calculated based on the total cost of the arrangement and reflects the materials, labor, and logistics required to restore it. Fees are displayed on the product page at the time of purchase and are final.

When purchased as an add-on during checkout, the refresh fee is charged at the same time as the original orchid arrangement. When purchased separately through the standalone product listing, the refresh fee is charged at the time of that transaction.

No additional payment is required at the time of redemption, provided the condition of the arrangement does not require materials or services beyond the scope covered by the original refresh fee. In cases where the arrangement condition warrants additional work — such as full container replacement or extensive structural rebuilding beyond normal wear — Orchid Republic will notify the Customer and obtain approval before proceeding. The Customer is never obligated to accept supplemental charges and may decline additional work without forfeiting the base refresh service.

Section 4

Customer Responsibilities

The Customer is responsible for the proper care and handling of the orchid arrangement between the date of purchase and the date of the Orchid Refresh service. This includes maintaining appropriate watering, light exposure, and temperature conditions consistent with the care instructions provided by Orchid Republic at the time of delivery.

For drop-off service, the Customer is responsible for safely transporting the arrangement to the designated Orchid Republic location. Orchid Republic is not liable for damage that occurs during transportation to or from our premises.

For pickup and delivery service, the Customer must ensure that the arrangement is accessible and that someone is available at the scheduled location and time window. If access is not available at the agreed time, the visit will be treated as a missed appointment subject to our rescheduling policy.

The Customer must disclose, at the time of booking, any known damage, infestation, disease, or unusual condition affecting the arrangement. Failure to disclose may limit the scope of refresh services Orchid Republic is able to perform.

Section 5

Assessment & Service Scope

Upon receiving the arrangement, an Orchid Republic florist will assess its current condition. The scope of the Orchid Refresh service will be determined based on this assessment. Standard refresh services include replacement of spent or damaged orchid blooms, replenishment of moss and decorative fillers, inspection and replacement of structural elements as needed, and general arrangement reconditioning.

If the assessment reveals that the arrangement requires materials, labor, or replacement components beyond the standard scope, our team will contact the Customer to discuss options. We reserve the right to decline service on arrangements that present a health or safety risk (such as severe pest infestation or fungal disease) until the issue is resolved by the Customer.

Orchid Republic's determination of the arrangement's condition at assessment is final. We are not responsible for changes in the arrangement's condition that occurred after our assessment was communicated to the Customer.

The standard Orchid Refresh covers orchid blooms only. If the assessment identifies that moss, plants, decorative fillers, containers, or accessories also require replacement, these will be quoted as separate line items and communicated to the Customer for approval before any work proceed

Section 6

Replacements & Materials

Orchid Republic will use commercially reasonable efforts to match replacement orchids, plants, moss, decorative materials, containers, and accessories to those in the original arrangement. However, exact matches cannot be guaranteed due to seasonal availability, supplier changes, and natural variation in plant materials.

Where an exact match is not available, Orchid Republic will substitute comparable materials of equal or greater quality and aesthetic value. Substitutions are made at the sole discretion of our florists and are considered a standard part of the refresh service.

Orchid Republic reserves the right to determine which components of an arrangement require replacement. We are not obligated to replace components that, in our professional judgment, remain in satisfactory condition.

Section 7

Scheduling, Rescheduling & Cancellation

Orchid Refresh appointments are booked through the redemption portal at orchidrepublic.com/pages/redeem-orchid-refresh. The Customer selects a preferred date and service method (drop-off or pickup and delivery) during booking. Appointment availability is subject to our operational capacity and may vary by location and season.

Rescheduling: Appointments may be rescheduled at no charge if notice is provided at least 48 hours before the scheduled appointment time. Rescheduling requests made within 48 hours of the appointment are subject to a rescheduling fee of $15, which will be charged to the payment method on file.

Cancellations: Appointments cancelled at least 72 hours before the scheduled time will retain the refresh credit in full, which may be redeemed at a later date within the eligibility window. Cancellations made within 72 hours of the appointment will result in forfeiture of the Orchid Refresh service with no refund, except as provided under our Refund Policy in Section 10.

No-shows: If the Customer fails to present the arrangement at the agreed drop-off time, or if no one is available to facilitate a pickup and delivery appointment, the appointment will be treated as a cancellation within 72 hours, subject to the same forfeiture terms.

Section 8

Service Limitations & Exclusions

The Orchid Refresh service does not include ongoing maintenance, watering, fertilization, or any care services beyond the single refresh appointment. It does not extend to orchid arrangements not purchased from Orchid Republic, or to arrangements that have been significantly altered from their original configuration by a third party.

The following are expressly excluded from the Orchid Refresh service:

    Treatment or remediation of plant disease or pest infestation

  •  

    Repair of damage caused by improper care, neglect, or accidents

  •  

    Redesign or re-styling into a substantially different arrangement

  •  

    Service on arrangements not originally purchased from Orchid Republic

  •  

    Ongoing care, maintenance plans, or repeat visit commitments

  •  

    Services outside our designated coverage areas

Orchid Republic reserves the right to decline service on any arrangement that, in our professional judgment, cannot be refreshed to a satisfactory standard. In such cases, we will notify the Customer and, where possible, propose alternative solutions.

Section 9

Payment Terms

All Orchid Refresh fees are charged in United States Dollars (USD) and are processed through Shopify's secure payment infrastructure at the time of purchase. By completing a purchase, the Customer authorizes Orchid Republic to charge the total amount displayed at checkout to the selected payment method.

The Orchid Refresh Add-On fee is a separate line item on the order and is charged in full regardless of when the Customer chooses to redeem the service. The fee is not held in escrow and is not contingent on the Customer's decision to redeem.

Any supplemental charges arising from out-of-scope work (as described in Section 3 and Section 5) will be quoted to the Customer in writing via email prior to being incurred. Customer approval, whether provided via email reply or through a secondary transaction at checkout, constitutes authorization to proceed and to charge the supplemental amount.

All prices are subject to applicable sales tax as required by law. Orchid Republic reserves the right to modify pricing at any time; however, price changes will not affect Orchid Refresh Add-Ons that have already been purchased.

Section 10

Liability Limitations & Disclaimers

Orchid Republic provides the Orchid Refresh service using professional judgment and commercially reasonable care. However, living plants are inherently variable in their response to care, environment, and handling. We cannot and do not guarantee specific outcomes, bloom duration, longevity, or the long-term health of any orchid or plant material following the refresh service.

Orchid Republic is not liable for deterioration, decline, or death of orchid arrangements caused by factors outside our reasonable control, including but not limited to: improper post-service care by the Customer, exposure to extreme temperatures, pests, disease, direct sunlight, overwatering, underwatering, or other environmental conditions at the Customer's location.

To the fullest extent permitted by applicable law, Orchid Republic's total liability to the Customer in connection with the Orchid Refresh service shall not exceed the amount paid by the Customer for that specific refresh service. In no event shall Orchid Republic be liable for indirect, incidental, consequential, or punitive damages of any kind.

Orchid Republic is not responsible for any damage to property at the Customer's location arising from the pickup and delivery service, except in cases of gross negligence or willful misconduct by our staff.

Section 11

Refunds & Disputes

All Orchid Refresh purchases are final. Refunds are not available once the refresh service has been rendered. If the refresh has not yet been redeemed, the following refund eligibility applies:

  •  

    Unredeemed refresh cancelled 72+ hours before appointment: full credit retained for future use within eligibility window

  •  

    Unredeemed refresh — service unavailable due to Orchid Republic operational failure: full monetary refund issued within 5–7 business days

  •  

    Unredeemed refresh — Customer cancels without rescheduling: no monetary refund; service forfeited after eligibility window expires

  •  

    Refresh rendered but outcome disputed: subject to review at Orchid Republic's discretion — see below

If a Customer believes the refresh service was not performed to a reasonable standard, they must notify Orchid Republic in writing at info@orchidrepublic.com within 5 business days of the service date. Disputes submitted after this window may not be considered. Orchid Republic will review the claim and, where warranted, may offer a partial credit, complimentary follow-up assessment, or other resolution at our sole discretion. Dispute resolutions are final and do not constitute acknowledgment of liability.

Section 12

Modification of Services & Terms

Orchid Republic reserves the right to modify, suspend, or discontinue the Orchid Refresh service, or any component thereof, at any time and for any reason, with or without notice. Where possible, we will provide advance notice of significant changes through our website or via email to affected customers.

These Terms of Service may be updated from time to time. The version of the Terms in effect at the time the Customer purchased their Orchid Refresh Add-On governs their specific refresh transaction. Updates to the Terms will not retroactively affect already-purchased and unredeemed refresh services, except where required by applicable law.

The current version of these Terms will always be available at orchidrepublic.com/pages/orchid-refresh-terms. We encourage Customers to review these Terms periodically. Continued use of the Orchid Refresh service following any posted update constitutes acceptance of the revised Terms.

Section 13

Acceptance of Terms

By purchasing the Orchid Refresh Add-On at checkout, purchasing the standalone Orchid Refresh product, or by booking an Orchid Refresh appointment through our redemption portal, the Customer acknowledges that they have read, understood, and agree to be bound by these Terms of Service in their entirety.

If the Customer is purchasing the Orchid Refresh on behalf of another individual, the Customer warrants that they have the authority to bind that individual to these Terms and that all information provided during the purchase and booking process is accurate.

These Terms constitute the entire agreement between Orchid Republic and the Customer with respect to the Orchid Refresh service and supersede all prior communications, representations, and understandings, whether written or oral, relating to the same subject matter.

These Terms are governed by the laws of the State of California. Any dispute arising from or related to these Terms or the Orchid Refresh service that cannot be resolved informally shall be subject to binding arbitration in Los Angeles County, California, in accordance with the rules of the American Arbitration Association.
